Position Overview Our client is seeking a detail-oriented and proactive Administrative Assistant to support their Human Resources department. This is a fully remote, independent contractor role open to candidates located in Colombia. The successful candidate will play a critical role in maintaining accurate employee records, supporting regulatory compliance, coordinating employee certifications and clearances, and ensuring administrative processes are completed accurately and in a timely manner. Compensation will be administered through Deel, consistent with the company's existing arrangements for contracted team members. Key Responsibilities Payroll & Timecards Assist with the review and correction of weekly timecards. Check GPS locations for timecard entries. Assist in the preparation and distribution of timecards for employee review. Maintain timecard records in the shared drive. Employee Personnel Files Assist with the creation of new hire employee files. Assist with employee file audits and updates as needed. Track and update expiring documents such as driver's licenses, passports, and certifications. Training, Compliance & Certification Coordination Enroll employees in required training programs and certification courses. Upload, track, and maintain employee certifications and training records. Schedule employee clearances, medical card appointments, drug testing, and related activities. Assist in maintaining compliance with customer, regulatory, and company requirements. Administrative & Clerical Support Provide administrative support including data entry, file maintenance, and updating Monday.com boards. Assist with scheduling meetings, interviews, and employee-related activities. Order and track office supplies, safety materials, Samsara devices, electronics, and related items. Complete vehicle registration renewals and maintain vehicle records. Support special projects and initiatives as assigned. Benefits & Employee Support Assist with employee benefit enrollment and renewal processes. Support new employee enrollment in eBacon. Qualifications & Requirements Required 2+ years of experience in an administrative, HR support, or similar role. Excellent written and verbal communication skills in English (professional proficiency required). Exceptional attention to detail with a strong commitment to accuracy. Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace. Ability to handle sensitive and confidential information with the utmost discretion and professionalism. Self-motivated and able to work independently in a remote environment, while also following established procedures and taking direction well. Reliable internet connection and a suitable remote work setup. Preferred Experience supporting HR functions such as payroll, onboarding, compliance tracking, or employee records management. Familiarity with platforms such as Monday.com, eBacon, or similar HR/operations tools. Familiarity with HRIS platforms or applicant tracking systems. Experience working with international teams or US-based companies as a remote contractor. Knowledge of contractor payroll platforms such as Deel is a plus.
