Air Import Operatios - Analyst

Job Purpose

The Air Import Operations Specialist is responsible for coordinating and managing air import shipments from origin through final delivery, ensuring timely execution, accurate documentation, regulatory compliance, cost control, and excellent customer service.

This position works closely with overseas agents, airlines, customs brokers, warehouses, trucking companies, customers, and internal departments to ensure shipments are handled efficiently and according to company procedures and U.S. import requirements.

Essential Duties and Responsibilities

– Coordinate air import shipments from pre-alert through final delivery.

– Receive, review, and process pre-alerts and shipping documentation, including MAWB, HAWB, Commercial Invoice, Packing List, and other required documents.

– Verify shipment details and ensure documentation is complete and accurate prior to cargo arrival.

– Create and maintain shipment files in the company’s operating system.

– Monitor flight schedules, departures, arrivals, connections, and cargo availability.

– Follow up proactively on delays, rolled cargo, missed connections, and other operational exceptions.

– Coordinate with overseas agents regarding shipment status, documentation, routing, and discrepancies.

– Communicate with airlines, CFS facilities, warehouses, and other service providers to obtain cargo availability and release information.

– Send arrival notices and required documentation to customers and/or customs brokers.

– Coordinate with customs brokers and customers regarding customs clearance and cargo release.

– Follow up on customs clearance to ensure cargo is released promptly.

– Coordinate cargo recovery from airlines/CFS facilities after release.

– Arrange final delivery with trucking companies according to customer instructions and

delivery requirements.

– Confirm delivery and obtain Proof of Delivery (POD) when applicable.

– Monitor shipments from beginning to completion and ensure files are properly closed.

Qualifications

Minimum 2 year’s experience within a Freight Forwarding company in Air Import or Export Operations

Advanced English (reading, writing, and conversation)

Must be enthusiastic, ambitious, self-motivated & looking to develop & Progress

Must have experience handling all aspects of air import/export operations, back-to-back shipments, consols, DG shipments, etc.

Full air export or import process – start to finish air export/import operations

Ability to manage multiple shipments and priorities simultaneously in a fast-paced environment.

Ability to identify problems, take ownership, and proactively coordinate solutions.

Strong customer-service mindset.

Ability to work independently while collaborating effectively with the operations team.

A High School education is required

Working knowledge of transportation management software (Magaya) is an asset.

Strong interpersonal skills with the ability to communicate clearly and effectively in verbal and written form.
