About the Client

A small, US-based fractional consulting firm operating in the consumer packaged goods space is hiring an Operations & Project Management Associate to give its founding partners their time back and convert client meeting follow-through into clean, owned, deadline-bound work.

The firm embeds deeply with its clients, playing roles that span from fractional executive support to hands-on operational execution, and its lean team has outgrown the founders' ability to personally capture, route, and follow up on every commitment that comes out of a client call. The culture is collaborative, hands-on, and growing.

About the Role

You will own the operational follow-through that keeps the firm's partners from losing evenings and weekends to catch-up work. You'll capture the action items that come out of each client call, route them to the right teammate, and manage them through completion, while also owning recurring internal billing, client payment tracking, and administrative execution.

You'll also draft lower-complexity client communication in the partner's voice and build the light systems and SOPs that keep recurring work running without repeated explanation. Success means the partner's working hours measurably decrease as the team trusts you to catch what would otherwise slip.

Core Responsibilities

Project Management Out of Client Meetings

• Review client call recordings within hours of each meeting and capture all resulting action items.
• Structure each to-do with clear ownership, context, and a deadline before loading it into Asana.
• Route action items to the correct team member and track them through completion.
• Flag ambiguous items for clarification before they stall.

Recurring Administration & Operations Support

• Manage recurring admin including email triage, calendar management, invoicing, scheduling, and travel coordination.
• Build lightweight SOPs for repeating tasks to reduce reliance on one-time instructions.
• Monitor for scheduling conflicts, stalled follow-ups, and recurring errands, and resolve them proactively.
• Handle occasional light personal-support requests when the partner is unavailable.

Internal Billing & Client Payment Tracking

• Own the billing and payment-tracking cycle end-to-end, including reconciling client hours.
• Identify and resolve discrepancies or outstanding balances before they escalate.
• Build and maintain a repeatable weekly billing cadence.

Client-Facing Written Communication

• Draft written responses to lower-complexity client requests in the partner's voice.
• Reduce the volume of routine client requests that reach the partners directly.
• Escalate complex or sensitive items with a clear recommendation.

Reporting & Microsoft Office Support

• Execute standard Microsoft Office tasks (Word, Excel) reliably and independently.
• Identify recurring reporting or tracking needs and build simple tools to address them.

Requirements

Must-Have

• 3-7 years of operations, project management, or founder/chief-of-staff support experience with direct exposure to a US-based partner, principal, or founder
• Demonstrated end-to-end ownership of at least one recurring workflow (e.g., billing cycle, SOP build, task routing system)
• Hands-on experience with Asana or a comparable PM tool (ClickUp, Monday, Trello) for task routing and deadline management
• Working proficiency with Microsoft Office (Word, Excel) and Outlook for high-volume email and calendar management
• Demonstrated use of ChatGPT or Claude in a professional work context (drafting, review, or problem-solving)
• Experience drafting client-facing written communication on behalf of another person
• C1+ English (CEFR) for direct client communication on video and phone

Nice-to-Have

• Experience in consumer packaged goods (CPG), consumer goods, or brand/retail environments
• Advanced Excel skills (modeling, dashboards, reporting) beyond basic spreadsheet use
• Experience with AI agent workflows or light coding inside AI tools
• Based in Latin America for natural overlap with US Mountain Time
• Experience with Clockify or similar time-tracking/billing tools
